Using Envoy as a Direct Engagement Portal

Getting started with the Envoy portal

Before you start using Envoy, the NHS trust you’re working your placement with will need to create an account for you on the Envoy portal. You will then receive an email from the Envoy portal with a link to finalise setting up your account.

Key information

Logging in for the first time

When you log in for the first time, you will see you have tasks to complete in the portal, including accepting your terms and conditions and uploading your bank account details. Once you have completed all tasks, you are free to upload any hours worked to the system.

When do I submit timesheets and receive my pay?

Please ensure timesheets are uploaded for your timesheet authoriser to approve prior to 9am Monday morning. If approved by 3pm on Monday by the client, you will receive your pay for those hours on Friday of the same week.

If you are working for Tees, Esk and Wear Valleys NHS Foundation Trust however pay will be received on Monday of the following week.

Submitting expenses

Expenses can be submitted using the Envoy portal. Please note, expenses must be added at the same time when adding a timesheet and they must be submitted together. Read the ‘Envoy – submitting expenses’ guide for further information

Accessing payslips

You can access your payslips via the NHS Electronic Staff Record portal (ESR). You can access the portal at https://my.esr.nhs.uk/. You will require your smartcard details to access this site.

Ensuring you are on the correct tax code
To ensure you are on the correct tax code, please complete the HMRC starter form and return to us via the relevant email address below. This is the best way to ensure you are on the correct tax code and therefore, paying the correct amount of tax.

Don’t forget your first week appraisal form

Once you have commenced working with the trust, we require you to complete our First shift appraisal form. This needs to be submitted within the first week of your placement.

NHS pension scheme

When working via Envoy, unfortunately you are not eligible for any pension scheme.
