How long does it take to register and become compliant?

It takes minutes to register on our website or via the phone with a member of our team.

We ensure the compliance process as easy as possible. However, the speed of this depends on how quickly you can collate the required information. If you have everything to hand, your compliance can be completed within 24 hours.

With a dedicated compliance team, we review and upload documents the same day we receive them to get you ready for work as quickly as possible.

This process is required to safeguard you, the service users and the service in which you are working. As an approved NHS supplier, Pulse abides by all framework regulations to ensure you’re fully protected while working with us.

How important is registering with the DBS Update Service?

If you are working as a locum, registering with the DBS Update Service means you can access it online at any time, rather than applying for a new DBS each time you’re seeking another placement. This often works out to be both cheaper and faster.

What essential training do you provide?

To fully prepare you for work, we supply access to training that covers the core framework skills required. We have an in-house virtual training academy.

Do you need insurance to work in the private sector?

Unlike in the NHS, a private healthcare provider’s insurance does not provide indemnity cover for their staff. Therefore, if you are working in the private sector, you will need professional indemnity insurance before you can start.

Indemnity insurance is essential to safeguard you, service users and the service itself. As a result, this is a prerequisite for all private sector workers to ensure everyone is sufficiently protected.

What is the typical length of a temporary contract?

On average, our temporary contracts run for six months. However, this can vary from client to client and will include shorter terms contracts, as well as long term cover for maternity, sick leave and vacant hard-to-fill positions.

What are the working hours available?

We have part-time, full-time and ad-hoc positions available; whatever your requirements, we can find something to accommodate.

What’s the difference between agency and bank work?

With Pulse, you have a dedicated consultant to fully understand your requirements and preferences for work. We’ll highlight the opportunities available to you and negotiate the best rates for your time and expertise, thereby ensuring you’re rewarded for the work you do.

Agency work can provide greater flexibility as we can place you in any Trust. You’ll have one central registration process with Pulse that means you are eligible for every NHS Trust in the country.

Payroll and timesheets

How do I submit my timesheet?

Once you have secured a temporary role with us, our dedicated candidate support team will be in touch to provide you with all the required information. They’ll set you up with our ipoint Timesheet app which enables you to quickly and easily submit your worked hours.

Full support is available from the team if you need any help.

In some cases, our clients use their own online platforms; you may be required to submit your hours through one of these. Again, our candidate support team will be on-hand to guide you through this.

How often do you run payroll?

We run payroll every day. This means that if you miss a timesheet deadline, you only have to wait 24 hours until the next deadline, instead of a whole week.

How soon will my pay reach my bank account, once it’s processed by Payroll?

If you are working with timesheet submissions (either via the ipoint app or paper timesheets), you will be paid two working days after payroll process your timesheet (assuming no queries are raised, such as a missing authorisation signature).

Timesheets need to be submitted by a deadline of 9:30am in order to be processed that same day.

If you are working through direct engagement, payment will depend on the Trust and the payment portal they use. Please contact our team for further guidance.

Will I be paid for my breaks?

With the majority of our roles, you will agree your hours of work and will be expected to take an unpaid lunch break. This does depend on the hours you are doing.

What payment methods can I choose from?

PAYE – This is the most common payment method. You’ll be paid via Pulse directly each week. All necessary deductions will be made at source meaning everything that arrives in your nominated account is yours to spend.

Umbrella – This method involves an agreement with a 3rd party supplier. Pulse Nursing will pay the umbrella company the gross amount, from here the umbrella company is responsible for doing the necessary deductions and paying you into your nominated account. Umbrella companies usually take a small fee for each timesheet processed.

Limited company – This method is similar to those above however payment will be sent directly to your limited company. If within IR35, all deductions will be made from source. If outside IR35, the gross amount will be paid, and you are responsible for making the necessary deductions at the end of the financial year.

What does direct engagement mean?

Direct engagement is when you are paid through a portal, directly by the Trust as opposed to by Pulse.

Direct engagement candidates won’t benefit from daily payroll as Trusts often operate on a weekly pay run, however DE providers may have other benefits including access to the NHS pension scheme. Please note, this varies between Trusts.

IR35 – What is it and how does it affect me?

IR35 is a set of tax laws which are designed to ensure all workers in the public sector are paying the correct amount of tax and National Insurance Contributions (NIC). There are a series of tests used by clients, to determine the employment status of contractors working through limited companies/personal service companies (PSCs).

As of 6 April 2021, further changes came into force, which included mid and large sized private sector clients, so if you are planning to work in either the public or private sector, IR35 will apply to all PSC workers.

Recommend a friend

How does the recommend a friend scheme work?

If you know someone who would like to work for Pulse, all you need to do is:

  • Send us the details of your friend or colleague, and we’ll get in touch to find them work
  • Alternatively, pass on our details for them to contact us. Please make sure they mention your name when registering
  • Once they have worked a set number of hours you will be eligible to receive your referral bonus
  • There is no limit to the number of people you can recommend.

How do I register with ipoint?

After downloading the app, you’ll be prompted to register; enter your details and click confirm. You will then receive an email with a link for verification – please note that this link will expire after 24 hours.

Click the link to verify your account. Once confirmed, you will need to go back into the app to get started.

Is the ipoint app secure?

Yes. All our applications are penetration tested to check their security before they are ready to use. Only candidates registered with Pulse and our group companies can use the app, and the app requires you to enter login details if you are inactive for 14 consecutive days or more. You will also be required to re-enter your details if you physically logout of the application before closing down, a step we certainly recommend when you have finished using the app.

How do I obtain HCPC registration?

HCPC is the governing body in the UK for Health and care professionals. This is where you’ll obtain your licence to practice in the country.

Alternatively, please get in touch with our dedicated International team who will be able to guide you on the professional regulatory registrations and any accreditations you may require to work within your chosen profession in the UK.

Do you offer Skilled Worker visa (formerly Tier 2 visa) support?

In some cases, our clients will consider sponsoring a Skilled Worker visa (formerly a Tier 2 General visa). There are several factors which determine whether or not a client is able to do this; your dedicated consultant will be able to go through this with you.

Skilled Worker visa sponsorship applies to permanent roles only. Unfortunately, we are not able to offer this for temporary contracts.

We do have an international resourcing team who can explore all possible right to work and visa options with you.

How long does a work visa / sponsorship last for?

This varies on a case by case basis. Usually Skilled Worker visas (formerly Tier 2 General visas) are initially for one year. Following this, they can be sponsored for multiple years (up to five) at once before having to be renewed.

Complaints

What’s your complaint process?

All complaints are resolved in an open, timely and transparent manner and, where possible, resolved within 28 working days or within a timeframe as agreed with the service user/client. Lessons are learnt from the experience, while any necessary changes are made to improve services and the worker/service user/client experience. For a full copy of our complaints policy, please contact your consultant.

How do I make a complaint?

You can make a verbal or written complaint directly to your consultant or their line manager. All complaints are passed to our central business process or clinical governance team and we will acknowledge your complaint within two working days. We will outline any next steps or further information required to progress and solve as efficiently as possible.

If you have serious concerns about our service, which have not been resolved, the representative body for the recruitment and staffing industry is the Recruitment and Employment Confederation (REC).

GDPR

How do I request to be removed from your database?

If you would like to be removed from our database, please email dpo@acaciumgroup.com. In most cases we will deal with your request as soon as possible and at the latest within one calendar month of the request. If we need to extend the time period for responding to your request, we will let you know within the one-month period.

What is the typical length of a temporary contract?

This varies depending on the type of role being covered. The majority of our positions are ongoing vacant posts which begin with a one-three month contract, which are then extended for another three months following the initial period. This can continue until there is no longer a need for the position.

Other examples would include covering annual leave, sickness or maternity leave. These are usually shorter than the average ongoing vacancy.

How do I obtain GMC registration?

Why do you need so many documents?

In order to obtain the best jobs in the NHS and private sector we have to adhere to employment law and legislation rules put in place by the NHS and private healthcare providers. This is to safeguard you, the service you are working in, and the service users.

Do I have to pay for my DBS?

The DBS charges £43 for an application to be processed. If you already have a DBS that has been registered with their update service, then you should have been informed that there is an annual cost of £13, paid directly to the Disclosure and Barring Service.

Do you provide training in the areas you recruit in if I don’t have experience?

Due to the specialist nature of the roles we recruit, our clients tend to request candidates that can take on a role with limited support. On this basis, you are required to have the relevant qualifications and work experience in your chosen field.

We do, however, supply training in core framework skills needed such as basic life support and safeguarding children. For a full list, please click here.

What is the interview process like at Pulse Jobs?

We know that interviews can be time-consuming and sometimes daunting, that’s why our recruitment process includes a digital interview which can be taken anytime, anywhere, making you feel more relaxed and comfortable. This means no additional travel and expense for you, and we’re able to process your registration even faster.

A digital interview involves watching pre-recorded video questions and recording your answers. If you’d prefer a different type of interview, we also offer the option to choose a video call interview via WhatsApp or Skype.

Any advice for interviewing through Pulse?

The great thing about digital interviews is that you can complete them in the comfort of your own home, but it’s always a good idea to treat the experience in the same way you would a normal interview.

Some things to consider:

  • Allow enough time – remember that you’ll need at least 10 minutes for preparation and around 20-30 minutes to answer the questions
  • Dress appropriately – it’ll help put you in the right mindset
  • Speak clearly – it’s important we can hear your answers
  • Relax and try not to rush– we’re only interested in the clinical aspects of your answers, so relax and let your professionalism shine. Don’t forget – you can record a second answer if you weren’t happy with the first one you gave
  • Have your photo ID ready – you’ll need to show either your passport or driving license at the beginning of the interview to verify your ID

Remember to make sure you’re in a suitable setting for a successful interview. Is it quiet enough? Are there any potential distractions in the room or in the background of the recording?

If you’re using a mobile phone or tablet to complete your interview, please ensure you prop it up while you’re recording to ensure quality isn’t compromised. This is especially important when showing your photo ID. iPhone and iPad users will need to download the HireVue app

How do I register if I have to give three months’ notice in my current job?

You can begin the registration process with Pulse while in your current position. The sooner you register with us the quicker you will receive information about the opportunities available and have access to a specialist recruitment consultant who can discuss your needs.

If you are looking for permanent work, we can begin the search for you immediately. If you’re looking to make the switch to full-time agency, you can still register and pick up ad-hoc, flexible shifts that fit around your current role.

How important is registering with the DBS update service?

If you are working in temporary roles, registering with the DBS update service is a great time and money saver. You can access it online at any time, rather than applying for a new DBS each time you seek another placement. This means you can get to work faster, with one less thing to think about.

Do you need insurance to work in the private sector?

Yes. Unlike in the NHS, a private healthcare provider’s insurance does not provide indemnity cover for their staff. Therefore, if you are working in the private sector, you will need professional indemnity insurance.

Do you offer support for revalidation and appraisals?

Yes, if we are your main provider of work. We have a dedicated team member to support you through the NMC revalidation process.

Payroll and timesheets

How do I submit my timesheet?

Once you have secured a temporary role with us, your dedicated consultant will be in touch to provide you with all the details you need in order to start work.

Send your completed timesheet to our team by fax to the number on your timesheet, or email a picture/scan to the email address provided by your consultant.

What should the ‘client name’ be on the timesheet?

Please use the hospital name and ward (if applicable). Please check with your consultant if you are not sure.

If I miss the payroll deadline, when will I be paid?

Pulse Nursing runs a payroll processing cycle every business day. Timesheets will be processed and paid on the same business day, if:

  • Timesheets are sent directly and received before 09:30am
  • There are no issues with the timesheet; it must have been completed correctly including your signature and the client’s signature, correct dates, client name and all other relevant information needed
  • The timesheet is for work up to the previous Sunday

If you miss the 9:30am deadline, your timesheet will fall into the next day’s processing cycle.

How soon will my pay reach my bank account, once it’s processed by Payroll?

Payments take two business days to reach your nominated bank account; payment for timesheets processed on Monday will reach your nominated bank account on Wednesday. Pulse Nursing is not responsible for delays in salary payments due to factors beyond its control. You will be advised of any changes to timesheet deadlines for Bank Holidays. If you are paid through an umbrella company, please check with them when payment will be made to you.

Will I be paid for my breaks?

Unfortunately not, breaks are unpaid.

What payment methods can I choose from?

PAYE – This is the most common payment method. You’ll be paid rolled via Pulse directly each week. All necessary deductions will be made at source meaning everything that arrives in your nominated account is yours to spend.

Umbrella – This method involves an agreement with a 3rd party supplier. Pulse Nursing will pay the umbrella company the gross amount, from here the umbrella company is responsible for doing the necessary deductions and paying you into your nominated account. Umbrella companies usually take a small fee for each timesheet processed.

Limited company – This method is similar to those above however payment will be sent directly to your limited company. If within IR35, all deductions will be made from source. If outside IR35, the gross amount will be paid, and you are responsible for making the necessary deductions at the end of the financial year.

How often do you run payroll?

We run payroll every day. This means that if you miss a timesheet deadline, you only have to wait 24 hours until the next deadline, instead of a whole week.

IR35 – What is it and how does it affect me?

IR35 is a set of tax laws which are designed to ensure all workers in the public sector are paying the correct amount of tax and National Insurance Contributions (NIC). There are a series of tests used by clients, to determine the employment status of contractors working through limited companies/personal service companies (PSCs).

As of 6 April 2021, further changes will come into force, which will include mid and large sized private sector clients, so if you are planning to work in either the public or private sector after this time, IR35 will apply to all PSC workers.

How does the recommend a friend scheme work?

If you know someone who would like to work for Pulse all you need to do is:

  • Send us the details of your friend or colleague and we’ll contact them to find them work
  • Alternatively, pass on our details for them to contact us. Please make sure they mention your name when registering
  • Once they have worked a set number of hours you will automatically receive your referral bonus (recommend a registered nurse (RGN), midwife, or operating department practitioner (ODP) to Pulse Nursing and you’ll receive £50 once they have completed their first shift and a further £200 after they have worked 200 hours. Recommend a healthcare assistant (HCA) and receive £50 once they have worked 200 hours)
  • There is no limit to the number of people you can recommend

Is the ipoint app secure?

Yes. All our applications are penetration tested to check their security before they are ready to use. Only candidates registered with Pulse and our group companies can use the app, and the app requires you to enter login details if you are inactive for 14 consecutive days or more. You will also be required to re-enter your details if you physically logout of the application before closing down, a step we certainly recommend when you have finished using the app.

Do you offer tier 2 visa support?

In some cases, our clients consider sponsoring a tier 2 visa. There are several factors as to whether a client is able to do this which your dedicated consultant will be able to discuss with you. This applies to permanent roles only. Unfortunately, we are not able to offer sponsorship for temporary contracts.

How long does a work visa / sponsorship last for?

This depends on the trust. Usually, Tier 2 visas are for 1 year in the first instance. Following this, they can be sponsored for multiple years at once before having to be renewed.

Can I bring my family with me?

Yes, if they have the correct immigration paperwork.

On a UK Tier 2 visa you are able to bring any dependents with you. We also have a recommend a friend scheme, so if they are also a healthcare professional, we can support them in their search for work too – and you can earn a bonus for referring them to us.

How much does it cost to register with Pulse?

Absolutely nothing, we provide a free job searching service for all of our candidates.

Is there any support for me once I arrive in a different country?

Our international team will support you with your entire relocation process. What’s your complaint process?

Please advise your line manager of any complaints in order for the client to invoke their own policy. You must also inform Pulse at your earliest opportunity, even if the complaint has been resolved locally.

All complaints are resolved in an open, timely and transparent manner and, where possible, resolved within 28 working days or within a timeframe as agreed with the service user/client. Lessons are learnt from the experience, while any necessary changes are made to improve services and the worker/service user/client experience. How do I make a complaint?

You can make a verbal or written complaint directly to your consultant or their line manager. All complaints are passed to our central business process or clinical governance team and we will acknowledge your complaint within two working days. Once you have secured a temporary role with us, our dedicated candidate support team will be in touch to provide you with all the required information. They’ll set you up with our ipoint Timesheet app which enables you to quickly and easily submit your worked hours.

Full support is available from the team if you need any help.

In some cases, our clients use their own online platforms; you may be required to submit your hours through one of these. Again, our candidate support team will be on-hand to guide you through this.

How often do you run payroll?

Umbrella – This method involves an agreement with a 3rd party supplier. Pulse Nursing will pay the umbrella company the gross amount, from here the umbrella company is responsible for doing the necessary deductions and paying you into your nominated account. Umbrella companies usually take a small fee for each timesheet processed.

Limited company–This method is similar to those above however payment will be sent directly to your limited company. If within IR35, all deductions will be made from source. If outsideIR35, the gross amount will be paid, and you are responsible for making the necessary deductions at the end of the financial year.

What does direct engagement mean?

Direct engagement is when you are paid through a portal, directly by the Trust as opposed to by Pulse.

Direct engagement candidates won’t benefit from daily payroll as Trusts often operate on a weekly pay run, however DE providers may have other benefits including access to the NHS pension scheme. Please note, this varies between Trusts.

IR35 – What is it and how does it affect me?

IR35 is a set of tax laws which are designed to ensure all workers in the public sector are paying the correct amount of tax and National Insurance Contributions (NIC). There are a series of tests used by clients, to determine the employment status of contractors working through limited companies/personal service companies (PSCs).

As of 6 April 2021, further changes came into force, which included mid and large sized private sector clients, so if you are planning to work in either the public or private sector, IR35 will apply to all PSC workers.

If you know someone who would like to work for Pulse, all you need to do is:

  • Send us the details of your friend or colleague, and we’ll get in touch to find them work
  • Alternatively, pass on our details for them to contact us. Please make sure they mention your name when registering
  • Once they have worked a set number of hours you will be eligible to receive your referral bonus

After downloading the app, you’ll be prompted to register; enter your details and click confirm. You will then receive an email with a link for verification – please note that this link will expire after 24 hours.

Click the link to verify your account. Once confirmed, you will need to go back into the app to get started.

Is the ipoint app secure?

Yes. All our applications are penetration tested to check their security before they are ready to use. Only candidates registered with Pulse and our group companies can use the app, and the app requires you to enter login details if you are inactive for 14 consecutive days or more. You will also be required to re-enter your details if you physically logout of the application before closing down, a step we certainly recommend when you have finished using the app.

How do I obtain HCPC registration?

HCPC is the governing body in the UK for Health and care professionals. This is where you’ll obtain your licence to practice in the country.

Alternatively, please get in touch with our dedicated International team who will be able to guide you on the professional regulatory registrations and any accreditations you may require to work within your chosen profession in the UK.

Do you offer Skilled Worker visa (formerly Tier 2 visa) support?

In some cases, our clients will consider sponsoring a Skilled Worker visa (formerly a Tier 2 General visa). There are several factors which determine whether or not a client is able to do this; your dedicated consultant will be able to go through this with you.

Skilled Worker visa sponsorship applies to permanent roles only. Unfortunately, we are not able to offer this for temporary contracts.

We do have an international resourcing team who can explore all possible right to work and visa options with you.

How long does a work visa / sponsorship last for?

This varies on a case by case basis. Usually Skilled Worker visas (formerly Tier 2 General visas) are initially for one year. Following this, they can be sponsored for multiple years (up to five) at once before having to be renewed.

Complaints

What’s your complaint process?

All complaints are resolved in an open, timely and transparent manner and, where possible, resolved within 28 working days or within a timeframe as agreed with the service user/client. Lessons are learnt from the experience, while any necessary changes are made to improve services and the worker/service user/client experience. How do I make a complaint?

You can make a verbal or written complaint directly to your consultant or their line manager. All complaints are passed to our central business process or clinical governance team and we will acknowledge your complaint within two working days. We will outline any next steps or further information required to progress and solve as efficiently as possible.

If you have serious concerns about our service, which have not been resolved, the representative body for the recruitment and staffing industry is the Recruitment and Employment Confederation (REC).

How do I request to be removed from your database?

If you would like to be removed from our database, please email dpo@acaciumgroup.com. In most cases we will deal with your request as soon as possible and at the latest within one calendar month of the request.
